Senior Executive Assistant
Expedia Group is seeking a Senior Executive Assistant to join our team in Seattle, WA supporting the SVP, Head of Design.
This exciting role requires attention to detail, the ability to deliver results on set timelines, phenomenal organizational skills, and proactively jump in to take on tasks. A high level of integrity and discretion in handling confidential information and professionalism in dealing with senior-level executives both inside and outside the company is critical. The right candidate will possess a bias for action in completing critical tasks and projects quickly, react with appropriate vitality, take effective action with requiring specific direction, and have a good sense of humor to keep it all in perspective. Experience in working with distributed teams, international time zones, and in a global company is a plus.
Responsibilities for this position include the ability to partner with the executive team and other Executive Assistants to create a seamless support environment. This role requires someone who can think and plan ahead to handle multiple concurrent requests appropriately and manage time effectively.
What you’ll do:
Support the SVP and CX leadership team with effective team communication, proactive problem solving, information distribution
Support and participate in strategic initiatives or cross-group programs contributing to the overall organizational strategy
Define and manage special projects and strategic initiatives as needed
Draft, present, and distribute communications, documents, or presentations, based on an understanding of project or task objectives
Proactively support site leaders with activities including calendar management, travel, and expense reimbursement
Event coordination - this includes partnering with technical teams to set up and support All Hands meetings, Quarterly LT Meetings, and team building events and social events
Attending key team meetings, supervising and helping drive completion of key results, customer engagements, and following up on outstanding items
Maintaining and monitoring project plans, project schedules, work hours, budgets
Preparing vital presentation materials for meetings such as documents, reports, and other materials for staff and business meetings
Tracking and helping drive completion of key deliverables and following up on outstanding items.
Ensuring project strategy results are met, maintain files and records which often contain confidential information. Assess project risks and issues and provide solutions where applicable
Providing administrative support such as international travel planning, expense reconciliation, ordering office suppliers, and catering
Chair and facilitate meetings where appropriate and distribute minutes to all project team members.
Create a project management calendar for fulfilling each goal and objective
Who you are:
Understand business priorities, demonstrate proactive anticipation of needs, and drive improvements to build capacity for the leadership team
Understanding and knowledge of human-centered design process
Ability to provide remarkable support, as well as experience in leading programs across a distributed organization
Ability to multitask, prioritize and complete sophisticated tasks autonomously and at a swift pace
Strong ability to effectively manage cross functional projects, dependencies and bottlenecks
Excellent judgment, discretion, and sensitivity when dealing with high profile executives, and confidential information
Impeccable attention to detail and problem-solving skills
Strong intellectual curiosity and comfortable navigating ambiguity
Minimum of 4 years’ experience as an EA
1-2 years project management experience
Proficiency with Microsoft Office: Outlook, Excel, Word, PowerPoint, and SharePoint
Detailed planning, time management, and organizational skills
Exceptional written, verbal, and interpersonal communication skills
Team and customer service orientation
Positive, proactive, and able to have fun at work
Experience using data to identify problems and communicate solutions
