Executive Assistant - People Team

We work for the best travel company in the world! Our People Team is seeking an experienced, multi-faceted Executive Assistant to support multiple Vice Presidents who lead our People Partner teams. Our business is global, and our industry is rapidly changing, requiring our teams to be innovative and adapt quickly to a wide variety of business challenges. You should be self-driven, work quickly, accurately, and have a passion for travel. You'll manage detailed calendars with your leaders, set travel itineraries (including international), meeting coordination, expensing and special events. Such support will require a high-level of discretion and will impact significant matters. In addition to this work, we are looking for someone who will be a strong partner to our executives, their teams, and collaborate well across our EA community.

The position requires a proactive approach along with strong organization and impeccable attention to details as well as the ability to see all the pieces of the puzzle to avoid possible complications. Aptitude to prioritize work-flow with limited supervision are essential. Flexibility, excellent problem-solving skills, and the ability to work well with all levels of internal management and staff are also required. Professionalism is critical across all levels of communication. There will be a wide range of other administrative tasks and ad hoc projects significant to the business such as special projects for the executives, coordination of special events, and facilitate catering orders when necessary.

What you’ll do:

  • Provide executive support to 3 Vice Presidents within the People Team. This will include, but is not limited to, managing calendars across multiple time zones, making global travel arrangements and processing expense reports in an accurate and timely manner
  • Organize meetings across various groups that partner with People Team organization
  • Meeting coordination including arranging logistics, creating and maintaining agendas and material preparation
  • Responsible for invoice processing, vendor set-up and corporate credit card reconciliation
  • Assist with organizing department events, both onsite and offsite, and team meetings from inception to completion, including planning, budgeting, preparing meeting materials and logistics
  • Coordinate and support activities such as office moves
  • Assist with special projects as needed
  • General administrative functions which include but not limited to ordering supplies, making copies, scanning, arranging courier service and handling incoming and outgoing mail/packages

Who you are:

  • A minimum of 3+ years as an executive assistant in a fast-paced environment
  • High level of executive maturity and experience working with senior leadership
  • Works well in both team oriented and self-directed environments
  • Complete work quickly, react with appropriate urgency to situations that require a quick turnaround, and take effective action
  • A “can-do” and positive attitude
  • Ability to maintain confidentiality
  • Strong organizational skills, attention to detail and ability to balance multiple priorities
  • Effective interpersonal skills, both written and verbal
  • Proficient in Microsoft Office, Slack, and openness to learning other office and communication tools as needed
